Setting up e-invoicing

Under the "Companies" section, you can set up e-invoicing for the different companies associated with your system.

Electronic invoicing (e-invoicing) is a digital method of exchanging and processing invoices between companies or between companies and public authorities. This method ensures that invoices can be sent, received, and processed without the need for paper, improving both the efficiency and accuracy of invoice processing.

Use of electronic invoicing

Electronic invoicing has become more prevalent, and many companies are choosing to integrate e-invoicing into their financial systems to optimize invoice processes. By implementing e-invoicing, companies can reduce manual errors, improve cash management, and streamline collaboration with their trading partners, both domestically and internationally.

Electronic invoicing is used in various contexts:

  • Business with public authorities: In several countries, including Denmark, electronic invoicing is mandatory when companies do business with public authorities. This ensures faster and more secure payment.
  • Business with other companies: Many companies choose e-invoicing to take advantage of the mentioned efficiencies. This is especially relevant for industries with a high volume of transactions.
  • International business: Electronic invoicing facilitates trade with foreign businesses by ensuring that invoices meet international standards and formats.

Nemhandel VS Peppol

  1. Nemhandel: Nemhandel is a system used in Denmark to send and receive electronic invoices between Danish companies and public authorities. This system is designed to ensure that all invoices comply with the applicable Danish standards for e-invoicing.
  2. Peppol (Pan-European Public Procurement Online): Peppol is an international standard for electronic commerce that enables the cross-border exchange of e-invoices between companies in different countries. By using Peppol, companies can send and receive invoices across borders, improving efficiency in global trade and ensuring that transactions comply with both national and international requirements.

Enable e-invoicing

To make use of e-invoicing in your system, you can add the following information under each company:

  • GLN/EAN: Global Location Number (GLN) or European Article Number (EAN) is used to uniquely identify a company or a physical location in connection with e-invoicing.
  • P. no.: A number used to identify the specific government entity or authority to which the invoice is addressed in the context of public procurement.
  • SE no.: The SE number is a unique identification number used to identify a company or organisation for the purposes of electronic invoicing.

How to connect to e-invoicing

  1. Go to the menu and click on "Settings".
  2. Select "Companies" from the submenu.
  3. Find the company that you want to connect to e-invoicing for.
  4. Enable e-invoicing for that company.
  5. Contact Support desk to setup the rest of e-invoicing.

Once these steps have been completed, your company is now ready to send and receive e-invoices.
